We are a growing mechanical installation company specializing in commercial kitchen hood systems, ductwork, ventilation, and related mechanical projects throughout New York. We work with restaurants, hospitality groups, general contractors, and developers on fast-paced commercial construction projects.
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Estimating Department. This position plays a key role in coordinating projects from bid preparation through scheduling and customer communication.
Responsibilities:
- Read and review construction plans and specifications
- Assist with preparing and writing project proposals and estimates
- Coordinate scheduling of fabrication and installation jobs
- Communicate with customers, contractors, and project managers regarding project status and scheduling
- Maintain project files and documentation
- Track bid submissions and follow up on opportunities
- Support the estimating team with administrative and clerical tasks
Qualifications:
- Strong organizational and communication skills
- Ability to read construction drawings/plans (preferred but willing to train the right candidate)
- Experience with estimating, project coordination, construction administration, or office administration is a plus
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to manage multiple projects and deadlines in a fast-paced environment
- Professional phone and customer service skills
